Microsoft Office 365 can help managers and employees work together efficiently
There are obvious reasons why Microsoft Office 365 will make your team work together more efficiently, and why the productivity will increase dramatically seeing as it allows access for multiple users working simultaneously on the same projects; but for the purpose of this blog, I would like to outline some of the cool features we don’t necessarily hear about but which can truly enhance user experience.
Although there are multiple benefits to using Microsoft Office 365, this post will concentrate on the sharing and collaborative features of the tool, along with the really cool features found in some of the application it offers.
According to a new study on working remotely over 200,000 users replied that working remotely makes them more productive, happier, and that it leads to better and clearer goal setting communication between managers and employees. I believe Microsoft has come up with a tool to reflect this growing reality and surpass user expectations with Office 365.
Microsoft Office 365 solution is a fantastic way to increase team collaboration and ensure that, while working remotely, employees and managers are fully participating in the success of the organization, no matter where they are or what devise they are using. So let’s take a look at some of the cool features!
Devices, devices and more devices!
According to a report by Global Web Index, an average user owns 3 to 4 electronic devices. As a user-based licence solution, Microsoft Office 365 allows you to download Office 365 on up to 15 devices! You have plenty of leeway to access your documents across all your devices: Tablets, Smartphones, Desktop or Laptop regardless if these are Android, Microsoft or Apple devices! Microsoft Office 365 enables all your devices to be fully integrated with each other, in real-time, all the time so you can be mobile and compatible on all the devices you are using.
Edit a document as a team
Need help editing a document? Getting a time-sensitive presentation together and need help from a co-worker? With Microsoft Office 365, you can send an invitation to a co-worker to help you edit a document directly in the document in question. When you are working on time sensitive documents, this feature alone can bring the ROI you need! Team members can edit the document together in real-time and the document is saved automatically! I can certainly think of many scenarios where I created a document on the go and needed some help in the editing! Instead of exiting the document, preparing an email, attaching the document, waiting for the editing and continuing to work on my document, with Office 365, I can simply invite my co-workers to give their input, and continue on my document while it is being edited at the same time-all synchronized and saved simultaneously!
You are out of WIFI range? You can work on your documents both online and offline. When working offline, all the documents you have created, moved, edited, renamed or even deleted, will automatically be synched, allowing you to always be up-to-date on your content, across all your devices. While working online, save your documents on One Drive and benefit from full access on site or on the go!
A secured and private social network
Discover Yammer with Office 365 for business and use it to collaborate in teams with a social community type application. It has a similar UI to Facebook and it is extremely simple to use. Your workforce may be hesitant to use their personal Facebook account to communicate with members of the company, but Yammer makes connecting your workforce easy. In addition, as it is only available to the members of your organization, it remains extremely secure to use. Yammer allows for users to answer questions faster in an open platform, allowing them to learn, share, be heard and engage.
The Clutter feature in Outlook
Clutter helps you filter low-priority e-mails, thereby appropriating your time to more important messages. Here is how it works: The e-mail server keeps track of the e-mails you read and the ones you don`t. Once you turn it on, Clutter is automatic. As new e-mails are received, it removes the messages you are most likely to ignore and places them into the Clutter folder.
Moving an e-mail in and out of the Clutter folder, while using any of your devices, is enough to give the signal to the Clutter system that an item is or isn’t a Clutter. If you move an e-mail to the Clutter folder on one device such as your Laptop, or your smartphone, the Clutter system records the action across ALL your e-mail applications. You do not have to repeat this for each of your e-mail applications.
It may take Clutter a few days to fully adapt to your preferences as the system records your choices and uses the information to identify similar messages and patterns in the future. However, you can help Clutter learn your choice pattern by performing some simple actions such as helping Clutter identify low-priority e-mails in your inbox or place Clutter e-mails back in your Inbox, in a simple right-click action.
Clutter learns your patterns and eventually will distribute your low-priority e-mails automatically into the Clutter folder.
If Clutter is not for you, you can always turn the feature off.
Show in conversation in Outlook
Another cool feature in Outlook is the ‘Show in Conversation’ check box. When many e-mails are related to the same subject in the inbox, clicking on ‘Show in Conversation’ will consolidate them all under one thread of conversation. When you open it, you will get to see all the e-mails pertaining to that subject.
Drag a conversation in Outlook Calendar
Here is a really neat feature! If you receive an e-mail that require an action item, simply click and drag the e-mail to your Outlook calendar. It will automatically create an invitation, copy the e-mail content in the body of the invitation and allow you to plan your meeting or action right away!
The PDF feature you have always wanted
Open a PDF in Word and be able to edit it– Amazing! While Word may take a little time to open and display the document, and the content may not be perfect, this feature is a huge time saver when you need to revise a PDF document. You can receive a presentation in PDF, open it in Word, make all the corrections you need, and once completed, save it back to PDF or save it as a Word document.
